Invite people

People join your organization by invitation. You choose their role and which projects they can open when you invite them, and they join once they accept.

You need the Admin role, or a custom role with the Manage permission for users, to invite people.

Send an invitation

  1. Open your organization's Users list (organization menu → Manage organizations → Manage users).
  2. Select Invite user….
  3. Enter their Email address.
  4. Choose a Role. Each role shows a short description of what it allows. See Roles and permissions.
  5. Choose their Project access: All projects (including projects created later) or Specific projects. There is no default, so Invite stays disabled until you choose. If you pick the Admin role, project access is locked to all projects. See Project access.
  6. Select Invite.

Studio emails the person a link to accept. The invitation is waiting for them whether or not they already have a Studio account: someone who already has one still accepts it, so nobody is added to an organization without agreeing to it.

You can't invite someone who is already a member of the organization.

When email isn't set up

If your organization has no email provider configured, Studio shows an Invite link and a Decline link instead of sending an email. Copy the invite link and send it to the person yourself.

Pending invitations

Invitations that haven't been accepted appear under Pending invitations on the Users page, with the date you sent each one and when its link expires.

  • Invitation links last 30 days. After that the list shows Link expired, and the person can no longer accept with it.
  • Resend sends a fresh link, good for another 30 days. The original "Invited" date stays the same.
  • Revoke cancels the invitation, and its link stops working. You can invite the person again later.

People with a pending invitation are not in the main Users list until they accept.

What the invitee sees

The link opens an Accept invitation page naming your organization and the role they were given. From there they can:

  • Sign in, if they already have an account, and join straight away.
  • Sign up, if they're new. Their account is created and joins your organization. No extra organization is created for them.
  • Continue with Google or Microsoft, as long as the provider has verified the invited address. See joining from an invitation.
  • Decline the invitation.

The invitation only works for the address it was sent to. If someone forwards the link, the person who receives it can't use it to join with a different account.

Someone who is already signed in can also see and accept their invitations from Studio's onboarding screen.

After they join

The new member appears in the Users list with the role and project access you chose. You can change either at any time from their page. See Manage members.

Every member except those with the Viewer or Billing role uses an editor seat.
